The Certificate of Insurance (COI)
The certificate of insurance is the one-page summary that proves you carry coverage. It does not provide coverage itself; it documents the policies you hold, their limits, and their effective dates. For fireproofing work, general contractors commonly require general liability limits of at least 1 million dollars per occurrence and 2 million dollars aggregate, though larger or more complex projects often demand more. Many GCs also want to see workers' compensation, commercial auto, completed operations, and umbrella or excess limits reflected on the certificate.
The COI tells the GC at a glance whether you meet the insurance requirements written into your subcontract. If the limits or coverages fall short, you do not get the green light.
Additional Insured Status for the GC and Owner
This is where many fireproofing subs stumble. A certificate alone is not enough. General contractors and building owners almost always require that they be named as additional insureds on your general liability policy. Being an additional insured means your policy extends protection to them for liability arising out of your operations.
For fireproofing, this matters during the job and after it. GCs frequently require additional insured status that covers ongoing operations and completed operations, because fireproofing failures can surface long after the project closes. Make sure your additional insured endorsement actually includes completed operations, not just ongoing work, or you may satisfy the certificate while leaving a hole in what the GC expects.
Waiver of Subrogation
Many subcontracts require a waiver of subrogation in favor of the GC and owner. Subrogation is your insurer's right to pursue another party to recover a claim it paid. A waiver gives up that right against the named parties. GCs require it so that, even if your insurer pays a claim, it cannot turn around and sue the GC or owner to recover. This must be added to your policy by endorsement, and the certificate should show it. You cannot simply promise it; it has to be backed by the actual policy.
Primary and Noncontributory Wording
Another common requirement is that your coverage be "primary and noncontributory." This means your policy pays first, before the GC's or owner's own insurance responds, and that your insurer will not seek contribution from their policies. GCs insist on this so that your coverage, not theirs, absorbs claims arising from your work. Like the waiver and the additional insured status, this is accomplished through specific endorsement language on your policy, and the certificate should reflect it.
Adequate Completed Operations and Umbrella
Because fireproofing is a life-safety system that may not be tested until a fire, GCs care a great deal about your completed-operations coverage and your umbrella or excess limits. They want assurance that if your fire-rating work fails down the road, there is real coverage behind it. Subcontracts on larger projects frequently require umbrella limits stacked on top of your general liability, sometimes several million dollars, along with additional insured status extended to those umbrella layers.
Why GCs Also Check Your EMR
Insurance certificates are not the only thing GCs review. Many also ask for your experience modification rate, or EMR. Your EMR is a number that reflects how your workers' compensation claims history compares to other contractors of similar size and trade. A low EMR signals a strong safety record; a high one raises red flags. Some GCs set a maximum EMR threshold to even bid certain projects. Keeping your EMR low through disciplined safety practices is not just about premium savings; it can determine whether you qualify for the work at all.
How to Get Certificates Issued Fast
Speed matters. A delay in producing a compliant certificate can push back your mobilization or hand the job to another sub. To move quickly:
- Work with an agent who knows the trade and can turn certificates around the same day.
- Send the full subcontract insurance requirements to your agent up front, not piecemeal, so the certificate and endorsements match what the GC demands.
- Keep your endorsements in place for additional insured, waiver of subrogation, and primary and noncontributory wording, so they are ready to reflect on any certificate.
- Build a relationship with one agency that holds your information and can issue compliant certificates on demand.
Common Mistakes That Get Subs Kicked Off Jobs
A few avoidable errors cause most of the problems:
- A certificate without the matching endorsements. Listing additional insured or waiver of subrogation on the COI without the actual policy endorsements behind it can be considered misrepresentation and can void your standing on the job.
- Additional insured for ongoing operations only. Missing the completed-operations component leaves a gap GCs increasingly catch.
- Limits that fall short of the subcontract requirements, including umbrella layers.
- Expired or lapsed coverage discovered at renewal, which can halt your access to active job sites.
- A high EMR that disqualifies you before you even submit a certificate.
